Week starting date field
Prints cleanly in landscape

How it works

1
Download the template

One click, no signup and no email required. The file is a standard .xlsx spreadsheet.

2
Add your staff and roles

Replace the empty rows with your team. One row per person, with their role beside their name.

3
Fill in the shifts

Enter shift times like 9:00 - 17:00 under each day, or type OFF for rostered days off.

4
Save, print, or share

Print it for the noticeboard, or email the file to your team each week.

Want something better than a spreadsheet?

The template is a fine start. When emailing files and retyping shifts starts costing you time, the same roster lives better online.

Edit online from any device

Update the roster from a laptop at home or a phone on site, without emailing files around.

Copy last week in one click

Reuse your regular week as a starting point instead of retyping the same shifts.

Publish a live roster link

Staff open one link and always see the current version, not an out-of-date attachment.

Email and SMS notifications

Publish once and staff are notified of their shifts automatically.

Clean PDF export

Still need paper? Download a tidy printable PDF of any roster.

Roster history

Published rosters are kept, so there is a record of what was actually rostered.

Roster template FAQ

Is the roster Excel template really free?

Yes. The download is a direct link to the .xlsx file with no signup, email address, or payment needed. Use it for as many teams and weeks as you like.

What format is the template and what apps open it?

It is a standard .xlsx spreadsheet. It opens in Microsoft Excel, Google Sheets, LibreOffice Calc, and Apple Numbers. In Google Sheets, upload the file to Drive and open it, then save your own copy.

How do I share the finished roster with staff?

With a spreadsheet, you print it or email the file each week. If resending files gets old, RosterShare lets you publish the roster to a live link instead, so staff always see the latest version and get notified by email or SMS when it changes.

When should I switch from an Excel roster to rostering software?

A spreadsheet works well for a small, stable team. The usual breaking points are copies getting out of sync after changes, staff claiming they never saw the update, and retyping the same week over and over. Rostering software fixes those by keeping one live version online with a history of what was published.
